1. About the service
AnzenBaltic is a multi-tenant software service that helps consulting agencies and their SME clients manage AI governance: onboarding, structured assessments, EU AI Act risk classification, risk and maturity analysis, AI-assisted documentation, vendor oversight, regulatory monitoring, and reporting. These terms apply to everyone who accesses the application.
2. Accounts and access
- Accounts are provisioned within a tenant (workspace) and assigned a role that determines what you can see and do.
- You are responsible for keeping your login credentials confidential and for activity carried out under your account.
- You must provide accurate account information and keep it up to date.
- Access may be suspended where an account is inactive, where these terms are breached, or where required for security.
3. Acceptable use
When using the application you agree not to:
- access data outside the scope of your assigned role or tenant;
- upload unlawful content, malware, or data you have no right to process;
- attempt to circumvent security, access controls, or usage limits;
- use the service to make automated decisions about individuals without appropriate human review;
- misrepresent AI-generated drafts as independently verified professional advice.
4. AI-assisted output and professional responsibility
The application uses artificial intelligence to generate draft documents and analyses. This is an important limitation you must understand and accept:
- AI output is a starting point, not legal advice, and may contain errors or omissions.
- Every AI-generated artefact is labelled as a draft and must be reviewed by a qualified person; a certified reviewer must approve a document before it is treated as final or exported (consistent with the human-oversight principle of EU AI Act Art. 14).
- You remain responsible for verifying the accuracy, completeness, and legal suitability of any output before relying on or submitting it.
- The service supports compliance work; it does not replace independent professional or legal judgement.
5. Customer data and responsibilities
- You retain ownership of the data you enter. The platform operator processes it to provide the service, as described in the Privacy Policy and Data Management pages.
- Where you act as a data controller, you are responsible for having a lawful basis for the data you enter and for honouring data-subject rights.
- You must not enter special categories of personal data unless lawful and necessary.
6. Subscriptions, plans and billing
- Some features are available only on paid plans, which may include usage limits (for example, on the number of client companies, users, or documents) and optional add-ons.
- Fees, billing cycle, and any applicable VAT are shown at the point of purchase. For EU business customers, VAT is handled according to the applicable rules, including the reverse-charge mechanism where a valid VAT identification number is provided.
- Subscriptions follow a defined lifecycle (for example trialing, active, past due, cancelled). Access to paid features depends on the subscription being in good standing.
7. Availability
The platform operator works to keep the service available and secure but does not guarantee uninterrupted operation. Maintenance, updates, or factors outside reasonable control may temporarily affect availability.
8. Intellectual property
The application, its software, and its design are owned by the platform operator or its licensors. These terms do not transfer any ownership of the software to you. Document templates and generated content may be used by your organisation for its own governance and compliance purposes.
9. Limitation of liability
To the extent permitted by law, the service is provided "as is". The platform operator is not liable for decisions made in reliance on AI-generated drafts that have not been independently verified, nor for indirect or consequential loss. Nothing in these terms excludes liability that cannot lawfully be excluded.
10. Suspension and termination
Either party may end the service relationship in accordance with the applicable contract. On termination, access ends and data is handled as described in the Data Management page's retention section.
11. Governing law and changes
These terms are intended to be governed by the law of the EU member state in which the platform operator is established, as specified in your service contract. The terms may be updated to reflect changes in the service or the law; the "last updated" date above reflects the current version.
